CRM Offenders, Round 2
1. Salesforce
Salesforce loves to flex its enterprise muscles. But here’s the truth: It’s a monster. One that was built for Fortune 500 companies, not small mom and pop shops. But not for small businesses in South-Central PA trying to stay afloat.
- Setup takes months (or longer)
- Features are locked behind paywalls
- You need an engineer to run it and a consultant to run reports
Why it fails SMBs: Complexity kills speed and adoption. However, for small businesses, speed is everything. Not to mention, you need a Salesforce Engineer to properly set up and manage it.

2. Monday.com
Looks cute. Has drag-and-drop boards. Great for managing projects.
But as a CRM? It’s all fluff, little automation, and no follow-up.
- No real automation (follow-up, nurturing, reactivation, etc.)
- No native pipelines worth mentioning (Hello, band-aid solutions!)
- You’ll end up duct-taping it together with other expensive tools anyway
Why it fails SMBs: You need to close deals, not color-code your to-do list. Lots of busy-work, very little effectiveness.

3. MailChimp
MailChimp added “CRM features” like some sad afterthought. Kind of like, “Oh yeah, we better add something to stay vaguely competitive.” But it’s crap.
Sure, you can tag subscribers and send emails. But pipeline management? Forget about it.
- No native sales pipeline (yup, need more tools/expenses)
- Barebones task management
- You’ll still need a real CRM to follow up and close deals
Why it fails SMBs: You’re not running a fan club. Granted, it was cutting-edge… twenty years ago. But you need modern tools for a small business to stay competitive.
Learn more about the modern way of capturing new leads, nurturing, and closing more sales in our article, Follow-Up or Fail.
Bonus Roast: Acuity + Zapier (Spaghetti Frankenstein)
So this one’s for the DIY crowd who try to bolt 17 tools together.
- Acuity for scheduling
- Zapier for automation and communication between tools
- Google Sheets for notes and contact details
- MailChimp for emails
- Slack for reminders
- Google Calendars to sync online scheduling
- Hootsuite for social media posting
- ClickFunnels for a funnel builder
- Etc., etc., etc.
Sadly, some folks think this is a CRM.
Why it fails SMBs: It breaks. You patch it. Then it breaks again. Also, you have login credentials for all those services. Additionally, you have all those added expenses. Last but far from least, you’ll be spending a lot of your time figuring out why some leads simply vanish into thin air.

More CRM Lies Exposed: The Pricing Game
Most CRMs don’t show you the real costs of their tools. That’s because it sucks. But if more small business owners were aware of:
- Salesforce: starts “low” but jumps once you add automation and reporting
- HubSpot: “Free” starter plan turns into a $3,600/year punch in the face, fast
- Pipedrive: Affordable at first, until you need email, automation, or analytics
- MailChimp: Pricing balloons faster than your list
- Monday.com: Great for making pretty flowcharts, but nothing much else
- Acuity Scheduling: Excellent scheduling, not much of a CRM
ROI Ninjas CRM: Three plans, one platform, zero shell games or hidden costs. Also, it’s the ONLY option that includes FREE access to CRM GPT (a $150/month value) and ROI Ninjas University.
